Voyages
A Voyage follows the vessel from acceptance to the end of discharge. It keeps the statement of facts (every marine event with its time), the bill of lading, the vessel's position, the voyage's emissions and, on CFR and CIF terms, the freight owed to the shipowner. Its bill of lading date starts the presentation clocks of the trade's credits.
To open the list: Shipping › Vessels › Voyage (/palbon-trade-finance/voyages). The main dashboard's fleet map draws every voyage's route, the sailed part solid.
1. Create the voyage
- Automatically when a nomination is accepted (rule Create the voyage when a nomination is accepted).
- Manually: New, with Title (for example Ocean Pride - T.0101), Vessel, Trade, Load Port, Discharge Port, Laycan From / To, ETA Load Port, ETA Discharge Port.
2. The voyage workflow
| Step | Action | Who |
|---|---|---|
| Nominated | Accept Clean Vessel (not the requester) / Reject Vessel | Shipping Manager |
| Accepted | Proceed to Load Port | Logistics Coordinator |
| Proceeding to Load Port | Arrive at Load Port | Logistics Coordinator |
| At Load Port | Start Loading | Logistics Coordinator |
| Loading | Complete Loading and Sail | Logistics Coordinator |
| Sailed | Arrive at Discharge Port | Logistics Coordinator |
| At Discharge Port | Start Discharging | Logistics Coordinator |
| Discharging | Complete Voyage | Logistics Coordinator, Shipping Manager |
3. Statement of facts
The Statement of Facts table is the event log the laytime calculations read. Add a row for each event:
| Field | Use |
|---|---|
| Event | Arrived / Anchored, NOR Tendered, NOR Accepted, Free Pratique Granted, Hold Inspection Passed, Initial Draft Survey, Loading Commenced, Loading Stopped, Loading Resumed, Loading Completed, Final Draft Survey, Documents On Board, Sailed, Arrived Discharge Port, Discharging Commenced, Discharging Completed, Weather Stoppage, Shifting, Other |
| From, To | Date and time (an event without To lasts until the next event) |
| Counts for Laytime | Whether the period counts against laytime under the charter party |
| Source | Manual, AIS, IoT, Voice, Document |
| Remarks | For example B/L issued |
Rows are kept in time order; a row that ends before it starts is refused. By voice: Log NOR tendered for Ocean Pride at today 08:30.
4. Loading completed: the bill of lading
When loading ends and the bill of lading is issued:
- Fill B/L Number, B/L Date and B/L Quantity (from the final draft survey).
- Click Complete Loading and Sail.
- On save, the B/L date is passed to every open credit of the trade: their presentation deadlines and payment-tranche due dates are worked out (see Letters of credit). The document set's non-negotiable-documents deadline follows from it too.
- On the trade, click Mark Shipped.
5. Position and ETA
Position: Latitude, Longitude, Speed (knots), Position Time, Position Source (Manual, AIS, IoT). Update it from the ship's reports or by voice (Set the speed of voyage VOY-2026-00003 to 12.5). Live AIS feeds are not part of this release.
6. Emissions
Distance (nautical miles) and Grams CO2 per Tonne-Mile give CO2 (tonnes) = B/L quantity × distance × grams per tonne-mile ÷ 1,000,000. The carbon intensity is also one of the tests for the trade's Green-Finance Eligible flag (at most 8 g per tonne-mile).
7. Freight (CFR and CIF)
Freight shows Not Applicable (FOB) when the buyer charters (F-terms) and Payable by Us (CFR/CIF) on C- and D-terms. When the freight is yours:
- Fill Shipowner, Freight rate per unit, Freight currency and Advance on loading (%) (for example 95%). Freight = rate × B/L quantity.
- After the bill of lading is recorded, Actions › Raise the freight invoices makes a draft Purchase Invoice to the shipowner for the advance.
- Once the voyage is at the discharge port (or discharging, or completed), the same action makes the draft invoice for the balance.
- An accountant submits the invoices and pays them in PALBONSphere. The voyage keeps Advance invoice and Balance invoice.
Messages you may see: Freight is not ours on these terms (FOB): the buyer charters the vessel; Set the shipowner and the freight rate first; The advance is due on loading: record the bill of lading first.
8. Arrival and discharge
At the discharge port, record Arrived Discharge Port, Discharging Commenced and Discharging Completed in the statement of facts and move the voyage through Arrive at Discharge Port, Start Discharging and Complete Voyage. Then calculate the discharge-port laytime with the buyer (and the owner on C-terms): see Laytime.
